Extended care enrollment (Schoolmates and Minimates)

We offer after school care for children in grades TK to 5.

  • Costs: $11.20 to $13.40 per hour

  • You need a Community Pass account (1 per family)

After school program registration for the 2024/25 school year will not be visible in your online account until your enrollment start date.

Mid-year enrollment

You can register mid-year online through Community Pass. Monthly enrollment starts in September.

  • Flexi-care: Each month during the school year, you can enroll between the 20th at 6 pm and the 25th.
  • Block booking: Join the waitlist at any time. We will notify you when a space is available.

City and school district employees

If you are employed with the City of Piedmont or Piedmont Unified School District, and your child is participating in a recreation program, contact us to review your account settings before enrollment.

Steps

  1. Login to Community Pass during your registration period.

  2. Select Click Here to Register/Reserve.

  3. Select Continue for the type of afterschool you want. Make sure to select the correct school site.

  4. Check the box next to the names of the children you want to register and click Continue.

  5. For each child, select the days you want and click Continue.

  6. Review the policies, enter your name, and click Continue.

  7. Enter your payment information and click Complete Transaction.

    You can pay by credit card (3% processing fee) or e-check (1% processing fee). You need to keep current payment information linked to your account for future payments.

What’s next

You will get an email confirmation. You can also login to your account to review your registrations.

You do not need to re-enroll each month. Your enrollment will recur monthly for the school year, unless you withdraw.

Intake form

Before the first day, you need to complete an intake form. It’s available online in Community Pass starting August 1. If you were previously enrolled, the form will be pre-populated with your information. You need to confirm or update your information.

Monthly payments

You will pay the 1st month’s tuition when you register. After that, you will be automatically charged on the 10th of every month for tuition.

If you have a past due balance and do not pay it, we may cancel enrollment until your balance is paid in full. Make sure your payment information on your account is up-to-date. If you need to add new payment information, let us know so we can make sure the automatic payments are linked to your new card.

We will adjust the monthly tuition when there are holiday breaks.

Waitlist (Block Booking only)

If the day you need is full, you can add your child to a waitlist for block booking. We will contact you by email when openings are available.

For Flexi-care and Minimates, there is no waitlist. We open enrollment on the 20th of every month.

Conflict and cancellations

No refunds or credits are allowed for missed days or early pick-ups. We may allow an exception for extended absences due to illness or family emergencies.

Withdrawals

If you need to withdraw, contact [email protected]. You need to withdraw by the 15th of the month before. For example, October 15 is the withdrawal deadline for November.

A withdrawal is defined as canceling all hours within each enrolled timeblock. If you need new hours, you need to re-enroll after the withdrawal is processed. Once you’ve withdrawn, we cannot guarantee future availability.

Transfers

Transfers between block booking and flexi-care are not allowed.
